Registration of Listing Information

After your user verification has been completed, register the following information from Registration of your My Page.

The NiaHomes team will verify your listing information after you complete ① through ⑦.

* Please allow a couple of days for the verification to be completed.

Your listing page will be published on the NiaHomes site when your listing information has been verified.

Some items cannot be edited after your listing page goes live on the NiaHomes site.

Please refer to “About each page of registration” below for further information.

Profile

The information that you have initially registered appears on this page.

Upload your profile photo here if you have not done so during the initial registration.

* Your profile photo must be a clear image of yourself.
  (You cannot register with an avatar, icon, or any other image that does not display your face.)

・Phone number
・Have you been a Host Family before? (Yes / No)
・Have been a Host Family since (month, year)

* Please contact the NiaHomes team if you need to modify any item other than those above.

Select applicable options for your family, pet, languages spoken by the host/family, and proficiency levels for Japanese and English.

Select applicable options for your home facilities and features, and register the information of the nearest station from your home.

When either one field is filled in, we will add the corresponding translation in the other.

Guest rooms

Register descriptions of your guest room(s) and set the room charges. Upload attractive photos of the guest room(s).

* Room Charges = Amount that the host will receive
 (There is no handling fee for hosts to receive the payment.)

You can add another room by clicking + on the top of the page or “Add Another Room” at the bottom.

Photos

Post best photos of the host/family, shared areas outside the guest rooms, exterior of the house, and others such as recommended sightseeing spots around your home or events you want to enjoy with your guests.

We recommend landscape photos than portrait photos to best fit the website.

You can add a caption to each photo.

Bank details

Register your bank account details for receiving payment.

Account holder must be the same person as the host registering with NiaHomes.

!Please note that the host must bear the costs if any refund fees are incurred due to incorrect bank details.

Check the preview page

Click “View My Listing Page” to preview how your listing page looks.

Your listing page is not published on the NiaHomes site yet.

* You can edit your listing information before pressing “Send for Confirmation”.

Send your listing information to the NiaHomes team

Click “Send for Confirmation” and wait to hear from the NiaHomes team.

We will confirm your listing information and email you when your listing page is published on the NiaHomes site.

From Guest Rooms, update the Room Calendar for your guest room(s).
Guests will then be able to start booking your homestay!

At the top of the page, you will see notifications when you receive a new booking request or any update regarding your current bookings.

Payment History

On this page, you can also check the status of your payouts, shown either as “processing” or “paid”, and detailed information of each payment.

You can filter transactions by payment date, booking number, and payment status.

Chat Room

You can send your questions or messages to your guests from Chat Room.

Chat Room will be closed:

・4 weeks after check-out
・2 weeks after the cancellation

Once the Chat Room is closed, it will become view-only.

Delete a guest room

You can delete a guest room that has never received a booking request by clicking “Delete This Room” at the bottom of the page.

* “Delete This Room” button appears only when the guest room can be deleted.

! To retain the room data, it is not possible to delete a guest room that has ever received a booking request.

If you don’t want to receive further booking requests for a certain guest room, you can set all future days to “unavailable” (colored in gray on the calendar) or unlist the room and hide it from your listing page.

Unlist a guest room

If you want to hide a certain guest room from your listing page, you can unlist (deactivate) the room by clicking “Unlist This Room” at the bottom of the page. The guest room will then be hidden from your listing page.

The status “Room: Unlisted” will appear at the top after you unlist a guest room.

!You cannot unlist a guest room when you have a booking request or confirmed booking (before checkout) made for the same room.

To unlist a guest room, you’ll need to complete all current bookings made for the room that you would like to hide from your listing page.

Meanwhile, you can set all future days to “unavailable” (colored in gray on the calendar) to make the guest room unbookable.

Reactivate a guest room

If you want to reactivate the guest room that you have unlisted, click “Reactivate This Room” at the bottom of the page.

The status “Room: Active” will appear at the top after you reactivate a guest room.

Unlist your listing page

To hide the entire listing page from the NiaHomes site, please contact the NiaHomes team.

Guest Book

When you have permission from the guest, you can post pictures of them (and yourselves) that you have taken during their stay on the Guest Book section of your listing page.

You can add a caption to the photos.

* To check whether the guest has given permission or not, please read their Thank You Letter that you would receive after checkout.

Chat

Users who are interested in booking your homestay can send you a message/question using the Chat function.

To prevent trouble, always use Chat to communicate with the guests.

Listing Information

Some items cannot be edited after your listing page goes live on the NiaHomes site.

Setting Room Charges and Calendar

From Guest Rooms, you can set the room charges and update the Room Calendar to accept booking requests.

Please set the Room Calendar as soon as your listing page goes live on the NiaHomes site.

Guests will be able to send you a booking request after you set “Available” dates on the Room Calendar.

What are room charges?

Room charges = payout for host

The prices you set as room charges are the amount that you will receive.

(Guests will pay the accommodation fee which is a sum of the room charges, 20% service fee, and 10% consumption tax for the service fee.)

3 types of room rates

You can set room charges for 3 different rates:
・Basic Rate (required)
・Seasonal Rate A and B (optional)

How to use Seasonal Rates (optional)

In addition to the Basic Rate, you can use the Seasonal Rate A and B when you want to raise or lower the room charges on a specific day, day of the week, or period.

[Example 1]
Basic Rate: from Monday to Friday
Seasonal Rate A (+1,000 yen of Basic Rate): from Saturday to Sunday

[Example 2]
Basic Rate: from January to March
Seasonal Rate A (+2,000 yen of Basic Rate): from April to May
Seasonal Rate B (-1,000 yen of Basic Rate): June

Choose prices

Guest rooms are charged by the number of people staying, not per room per night.

Charges for adults and children

Different prices apply to the registered guest (adult), additional guests (adults), and additional guests (children).

・Adults: ages 13 or older on the day of check-in

・Children: ages 3 to 12 on the day of check-in

* No accommodation fee will be charged for infants under the age of 3 on the day of check-in.

[Examples]

・2 adults, 1 night = ( Registered guest + Additional guest (adult) ) x 1 night

・1 adult and 1 ten-year-old child, 3 nights = ( Registered guest + Additional guest (child) ) x 3 nights

Nightly charges and Weekly charges

There are Nightly charges for a 1 night stay and Weekly charges for a 7 night stay.

・Recommended Weekly charges: (Nightly charge x 7 nights) x 90-95%
    (The system displays the amount of 10% discount for 7 nights but it is not mandatory to make a discount. Please set the prices you prefer.)

・Weekly charges apply when a guest makes a booking for more than 7 nights at the same room rate, regardless of whether these nights are consecutive or not.

[Example]
Booking for 10 nights (7 nights of Basic Rate and 3 nights of Seasonal Rate A):

Room charges = Basic Rate (Weekly charge x 1) + Seasonal Rate A (Nightly charge x 3)

You can set the room charges from Guest Rooms.

Choose the guest room

When you have registered multiple guest rooms, choose the one that you want to set prices for at the top of the page.

Choose the rate

Click the rate that you want to set prices for from Room Charges to open the price set window.

Enter prices

Enter prices for each of the following:

・Registered guest (adult) – Nightly and Weekly
・Additional guests (adults) – Nightly and Weekly
・Additional guests (children) – Nightly and Weekly

* Discount for weekly charges is not mandatory. Please set the prices you prefer.

[Examples]

・2 adults, 1 night = ( A + C ) x 1 night

・3 adults and 1 five-year-old child, 3 nights = ( A + (Cx2) + E ) x 3 nights

・1 adult and 1 ten-year-old child, 10 nights = B + F + (A + E) x 3 nights

Click “Save Details”

The room charges become visible on your listing page.

Change a room charge

You can make changes to the prices of the Basic Rate, Seasonal Rate A, or Seasonal Rate B in the same way as shown in “Set a room charge“.

* Any changes you make will only apply to future bookings, and won’t affect booking requests that you have received or bookings that are already confirmed/canceled.

Delete a Seasonal Rate

You can delete the Seasonal Rate A or B when you no longer use it.

(It is not possible to delete the Basic Rate.)

Choose the guest room

When you have registered multiple guest rooms, choose the one that you want to make a change to at the top of the page.

Choose the rate

Click the rate (either Seasonal Rate A or B) that you want to delete from Room Charges to open the price set window.

Click “Delete This Rate”

Click “Delete This Rate” at the top of the price set window.

Click “Save Details”

The prices of the Seasonal Rate will be cleared, and the canceled rate will no longer be displayed on your listing page.

* Any changes you make will only apply to future bookings, and won’t affect booking requests that you have received or bookings that are already confirmed/canceled.

What is room calendar?

Colored bars appear for the dates where the prices are set and have become “Available” for guests to book.

Green: Basic Rate

Pink: Seasonal Rate A

Blue: Seasonal Rate B

* Dates colored in gray = unavailable to book or blocked as the prices have not been set yet

* You can set the room calendar for the next 3 years.

Set the time period

Set the time period by clicking start and end dates on the calendar.

Click “Set Calendar”

Confirm the time period you set is correct.

Choose the room charge

Make sure that “Available” is selected.
Choose the room charge that you’d like to apply.

Select day(s) of week to apply the settings

All days are automatically selected and colored in orange.

To exclude any specific day(s) of the week within the set time period, click the day(s) of the week you want to exclude.

Click “Apply”

The available dates and applied room charges become visible on your listing page.
Make sure that the calendar correctly shows the dates and room charges that you selected.

! You cannot make changes to the following dates:

・dates with booking requests
・dates with confirmed bookings (before checkout)

Exclude these dates from the time period to set the room calendar.

Follow these steps to change “Available” dates to “Unavailable” (blocked) for guests to book:

Set the time period

Set the time period by clicking start and end dates on the calendar.

Click “Set Calendar”

Confirm the time period you set is correct.

Select “Unavailable”

Confirm you checked “Unavailable”.

Select day(s) of week to apply the settings

All days are automatically selected and colored in orange.

To exclude any specific day(s) of the week within the set time period, click the day(s) of the week you want to exclude.

Click “Apply”

The unavailable dates become visible on your listing page.

Make sure that the dates that you selected are colored in gray.

! You cannot make changes to the following dates:

・dates with booking requests
・dates with confirmed bookings (before checkout)

Exclude these dates from the time period to set the room calendar.

After setting the room charges and calendar

Update the Room Calendar when your availability changes.
It is important to keep your listing page accurate and up-to-date.

* Dates with pending booking requests and confirmed bookings are automatically blocked (colored in gray) on the room calendar on your listing page.


When a booking request is declined, canceled, or expired after 48 hours, or a confirmed booking is canceled, the dates will be turned back to “Available” on the calendar.

Booking Requests

When a guest books your homestay, you will see a notification at the top of your My Page.

You will also receive an email notification.

Click the notification and confirm the details of the booking request.

(The guest’s profile photo will become visible after you accept the request.)

From the Reservation Details, select either “Accept” or “Decline” within 48 hours of receipt.

* The booking request will be canceled if not confirmed within 48 hours of receipt.

Accept a booking request

When you accept a booking request within 48 hours of receipt, the booking will be deemed “confirmed”.

From “Message to Guest” box, you can send welcoming messages.

< After the booking is confirmed >

– The guest’s profile photo will become visible on the booking page.
 Your guest will receive your full address.

– Contact your guest from Chat Room of the booking page to give them directions to your home or confirm their arrival time.

To prevent trouble, always use Chat Room to communicate with the guests.

Decline a booking request

You can decline a booking request if you become unavailable for the requested period, or if you feel uncomfortable with the guest or reservation details.

Choose the reason why you are not able to accept this booking request within 48 hours of receipt.

Guests will be notified that their booking request has not been accepted, but the reason for declining the request will not be disclosed.

! If you would not like to receive further booking requests for the same period, please set these dates as “Unavailable” on the Room Calendar from Guest Rooms.

Changing a Booking

Details of a booking cannot be changed once it is confirmed by host.

To change the length of stay and/or the number of guests, the person (either the guest or host) needs to cancel the booking and the guest has to send another booking request.

Please note that the cancellation fee may be charged for cancellation after the host accepts the booking request and the booking is confirmed.

Canceling a Booking

Cancellation by Guest

The following cancellation fee will be charged for cancellation after the host accepts the booking request and the booking is confirmed.

〇 There will be no cancellation fee when a guest cancels the booking request before the host confirms it.

〇 In the case of cancellation less than 7 days before check-in, the following payout will be made to the host.

* The Service Fee is refundable 1 time per calendar year (from January 1 to December 31 of the same year) if the guest cancels within 48 hours of booking and at least 8 days before check-in.

If there is a payout for the host, we will contact you regarding the amount of payout and when we transfer the money to your bank account.

Cancellation by Host

Guests schedule their trips according to the booking accepted by the host.


It is important for you to note that you should decide to cancel a confirmed booking only when unavoidable circumstances arise.

If you need to cancel a confirmed booking

Penalty for cancellation by host

A penalty may be charged depending on the reason for cancellation or the number of previous cancellations of the host.

If there is a penalty, the following amount will be deducted from the host’s first payout after the cancellation (If the amount to be received is less than the penalty, the balance of the penalty will be deducted from the next payout thereafter).

Thank You Letter

Exchanging honest and truthful reviews are an important way to ensure a safe and trustworthy homestay experience through NiaHomes.

Thank You Letter is our review form to be filled in by both guests and hosts on their experiences and submitted within 14 days after checkout.

You will receive a link to the letter form by email the night before the checkout day.

We appreciate your time in advance!

From hosts to guests

Hosts are requested to send:

① four 5-star ratings about the guest (required)

② message to the guest (optional)

③ comment to the NiaHomes team (optional)

① and ② will be shared with the guest and hosts who will receive a booking request from the same guest in the future.

③ will not be shared with the guest or other users.

From guests to hosts

Guests are requested to send:

① five 5-star ratings about the host (required)

② message to the host (optional)

③ comment to the NiaHomes team (optional)

① and ② will be shared with the host.

Overall rating of ① and ② will be shared to all users on the host’s listing page.

③ will not be shared with the host or other users.

After sending the Thank You Letter

After both the guest and the host send a Thank You Letter, your review will be delivered to the guest and you will receive the review from the guest.

* If the guest does not send a letter by the deadline, your review will be delivered to the guest on the 15th day from the checkout.

Change Language

Follow the same step to change it back to English.
